Quick verdict
- Best for
- Non-technical individuals and small teams that want to connect many different apps through a visual no-code editor.
- Not ideal for
- Cost-sensitive, high-volume automation, where every successful action consumes a task, and teams that must run automation on their own servers.
- Starting price
- Free; paid plans from $19.99 per month billed annually.
- Key strength
- Connects more than 9,000 apps through a no-code visual editor, so most common automations need no custom development.
- Key weakness
- Task-based billing makes costs rise with every successful action, and AI steps can use 3 or 5 tasks each.
What Zapier is
Zapier is a hosted automation platform that moves data and triggers actions between web apps. Its core unit is the Zap, a workflow made of one trigger and one or more actions. A trigger might be a new form entry, and an action might be a Slack message, a spreadsheet row or an email. Zapier lists more than 9,000 supported apps, with a set of premium apps reserved for paid plans.
The product now reaches beyond simple connections. The same account includes Tables for storing data, Forms for collecting input, Canvas for planning workflows and an MCP connector that lets outside AI assistants call Zapier actions. Agents and Chatbots add AI-driven assistants and are priced separately from the platform plans.
How the main workflows work
A typical build starts in the visual editor, where a trigger app is chosen and action steps are added in sequence. The Copilot assistant, listed as beta in the plan comparison, can draft a workflow from a plain-language description. Built-in tools handle filtering, branching into paths, formatting data, delays and loops, and none of those steps consume tasks.
Webhooks connect systems that lack a ready-made integration, and the Code by Zapier step runs short JavaScript or Python snippets when custom logic is needed. AI by Zapier steps send a prompt to a language model and pass the answer to the next step, which suits drafting, summarizing or extracting data from text.
For polling triggers, Zapier checks the app for new data on a schedule that depends on the plan: every 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. Each successful action counts as a task, while triggers and failed actions do not. AI steps use one, three or five tasks depending on the model tier.
The free plan
The Free plan has no time limit and includes 100 tasks a month for one user. Zaps are limited to two steps, a trigger plus one action, so a workflow that needs a second action cannot be built. Polling runs every 15 minutes, and premium apps and webhooks are not available. Tables allows 2,500 records per account and Forms 10 pages per account, both far below the paid limits.
New accounts also start with a 14-day Professional trial that needs no credit card, which allows multi-step Zaps to be tested before paying. The Free plan fits one simple automation, such as copying form responses into a spreadsheet, but a few busy Zaps use up 100 tasks quickly.
Pricing and what to check
Zapier prices by monthly task volume. Each plan has a starting price for its smallest task tier, and a slider on the pricing page raises both the allowance and the cost. Annual billing is cheaper than monthly billing, and the advertised starting prices reflect yearly billing, so check which billing period a quoted figure assumes.
- Professional adds multi-step Zaps, premium apps, webhooks, AI fields, conditional form logic and 2-minute polling, with live chat support from the 2,000-task tier.
- Team adds up to 25 users, shared Zaps and folders, shared app connections, SAML single sign-on, priority support and 1-minute polling.
- Enterprise adds unlimited users, advanced admin permissions and app controls, annual task limits, observability tools and priority support with screen sharing.
The real bill depends on how many successful actions a workflow performs per run and which model tier its AI steps use. A Zap with one trigger and four actions that runs 400 times a month uses about 1,600 tasks, more than double the smallest Professional allowance. If the limit is reached, pay-per-task billing can switch on at a higher rate, so decide in advance whether to allow it.
What users report
Review averages are high on G2 and Capterra, at roughly 4.5 and 4.7 out of 5. Reviewers most often praise ease of use, the range of integrations and the time saved on repetitive work. The most common complaints there concern cost as task volume grows, then trouble diagnosing errors in complex Zaps and occasional integration problems. Trustpilot is far less favorable, with a TrustScore near 1.5 out of 5 across a few hundred reviews, driven by complaints about support access, billing surprises and the no-refund policy. The gap probably reflects who writes reviews on each platform, and none of these averages is independently verified.
Who Zapier suits
Zapier fits small businesses, agencies and departments whose automations are mostly straightforward: route a lead, post a notification, update a record, create a document. People without developer skills can build these in the visual editor, and the breadth of integrations lowers the chance that a needed app is missing. It also suits teams that want a few AI steps added to predictable workflows, and organizations that expect a vendor to provide published security audit reports.
Who should look elsewhere
Operators running thousands of multi-step workflows each month will find that per-task billing grows with every successful action, so scenario-based or self-hosted tools may be cheaper. Teams that need automation to run on their own servers should note that Zapier is a hosted service. Buyers who want a refund after upgrading should read the refund terms first, since purchases are final.
Before you choose
- Count the successful actions in each workflow and multiply by expected monthly runs to estimate tasks.
- Check which model tier each AI step uses, since higher tiers consume three or five tasks per step.
- Confirm whether premium apps, webhooks or several builders are needed, because they decide between Free, Professional and Team.
- Decide whether to allow pay-per-task billing, which keeps workflows running past the limit at a higher rate.
- If a card is added during the trial, set a reminder before it ends, because the account upgrades automatically.
Pricing
| Tier | Price | Notes |
|---|---|---|
| Free | $0 | 100 tasks per month, two-step Zaps only |
| Professional | From $19.99 per month (annual) | 750-task entry tier, multi-step Zaps, premium apps, webhooks |
| Team | From $69 per month (annual) | 2,000-task entry tier, up to 25 users, SAML SSO |
| Enterprise | Custom pricing | Unlimited users, advanced admin controls, annual task limits |
Free includes 100 tasks a month, while paid plans start at 750 (Professional) or 2,000 (Team) tasks a month and scale to much higher tiers, with Free and Professional limited to one user and Team to 25 users. Each successful action uses a task, built-in tools such as Filter, Paths and Formatter use none, and AI steps use 1, 3 or 5 tasks depending on model tier. Premium apps and webhooks require a paid plan, and the Free plan is limited to two-step Zaps with 15-minute polling. When a plan's task limit is reached, the account moves to pay-per-task billing at a higher per-task rate unless that option is turned off, in which case Zaps pause until the next usage period. All purchases are non-refundable under the published refund policy, so a charge cannot be reversed once processed. New accounts receive a 14-day Professional trial with no credit card, trials of Team and Enterprise go through sales, and a trial with a card on file upgrades automatically unless the person opts out. Upgrades take effect immediately with a prorated charge, while downgrades apply at the end of the billing cycle. Live chat starts at the 2,000-task Professional tier, and priority support is limited to Team and Enterprise. A second lineup covers Zapier Agents and Chatbots, which are priced separately: Agents has a free tier with 400 activities a month and a Pro tier at $400 billed annually for 1,500 activities, and Chatbots has Free, Pro and Advanced plans.

Frequently asked questions
Question: Is Zapier secure and compliant?
Answer: Zapier states that it holds SOC 2 Type II and SOC 3 reports and meets GDPR, UK GDPR and CCPA requirements, and its Trust Center lists an audit period of 1 June 2025 to 31 May 2026. The SOC 3 report is public, while the SOC 2 report is available under NDA. In May 2026 a security firm disclosed a five-step vulnerability chain that began in the code step; Zapier fixed the underlying problems between February and March 2026 and has said it found no evidence of exploitation beyond the research.
Question: Can AI assistants run Zapier actions?
Answer: Yes. Zapier MCP lets AI assistants call tools across its app library without a Zap, and each tool call uses two tasks from the plan allowance.
Question: How do I cancel a paid plan?
Answer: There is no separate cancel button. Select the Free plan on the Billing and usage page, and the change takes effect at the end of the current billing cycle, although pay-per-task charges from that cycle can still apply.
Question: Does Zapier offer a nonprofit discount?
Answer: Yes, nonprofits receive 15% off paid plans, excluding pay-per-task charges.
Best suited for
- Small teams and solo operators connecting everyday apps such as CRM, forms, email and spreadsheets without writing code.
- Lead routing, notification and data-sync workflows that run at modest volume.
- Departments that want AI steps, such as drafting or classifying text, added to simple and predictable workflows.
- Groups of up to 25 builders sharing Zaps, folders and app connections under one Team account.
Not suited for
- High-volume, multi-step automations where per-task billing would outgrow the budget.
- Teams that need automation to run on their own servers, since the platform is a hosted service on Amazon Web Services.
- Hobbyists with many multi-step automations, where the Free plan's two-step limit and 100-task cap are quickly exceeded.
